Guidelines for entering data and searching the databases

Dear all,

We are glad to introduce the final version of the interconnected database system.

The database is consisted of three sub-bases. We strongly encourage you to start with the Resource Center (1) database, then to continue with Resource persons (2) and to finish with the Syllabi (3). In the process of entering data, you’ll see that some fields that you have already entered in the (1) and (2) are included in some of the drop-down menus in (3).

Important note: apostrophe (’) is a part of the software language and therefore is forbidden in the entries, so please avoid it, even though it might mean incorrect spelling. Otherwise, autocorrect procedure will automatically delete the apostrophes.

Also, in case you are using dial-up internet connection, it might be convenient to have the material prepared beforehand.

REGISTERING

Step 1:

Go to http://www.euba.edu.mk/gendersyllabi/
and register by writing your Name, Surname, e-mail address, username (pick one) and password (pick one and remember it :)) and then press Submit.

Step 2:

Use the same username and password to login. Please bear in mind that only you (and the administrator, if needed) can change and upgrade your entries. After you login, you’ll be able to enter data in the database.

ENTERING DATA

Step 3:

Start with Resource centers database. Drop-down menus (type of organization, keywords, scope of activities and languages) enable more then one choice. Per example, you can choose both Feminist and Gender Studies from the key words; publishing, research and teaching from the Scope of activities, or Serbian, English, German and Roma from the languages drop-down menu. After you’ve filled the form click Enter.

Step 4:

You can now enter the data for the Resource person. Some people thought that posting personal phone numbers on the web might not be a good idea, so you can either leave the phone fields empty or, more preferably, put the number of an institution where you could easily be reached. In the Publication field, it is possible, instead of copying a list of titles, to simply put a link to another page where the publications are already listed. It is, however, much more convenient to list it here, given the apostrophe mark is deleted from the text.
Resource center drop-down menu at the end of the form contains the centers already entered via the Resource centers database. It is not possible to insert free text into this field, so if you didn’t already enter the Resource center (or if there is no Resource center you can enter); the option is to leave the field empty.
After you press Enter you’ll be able to enter the specific info about the Resource person and after you’ve done that, by pressing enter you are now finished with this part of the database. After you exit the Resource persons form, you’ll be able to either make another Resource person entry or to go to Syllabi database entry form. You can enter as many Resource persons as you like.

Step 5:

Syllabi database: “Resource center” and “Taught by” fields are connected with the Resource centers and Resource person’s database, so you can pick from the data you already entered. Pressing enter will lead you to Course/module description form. You can attach the Course program in PDF or .doc format if you like, and you are now finished with the data entry. You can enter as many Syllabi as you like.

Note: It might be a good thing to use the search option after each data entry in order to check whether the information you entered are properly saved, before you go to the next entry step.

SEARCHING THE DATABASES

You will be able to search the databases using only one category or by cross-referencing categories.

Example 1:

If you need to find a Resource center that works in the area of Gender Studies and uses German language, you should pick Gender Studies from the key words drop-down menu and German from the languages menu. Press Search and the list of the Centers that satisfy the criteria will appear on the list. If you, on the other hand, need all the Centers working in a certain country, you should pick the country you need form the Country menu and click Search. You can combine Country with Language criterion, with Key-word criterion or with both criteria.

Example 2:

If you need to find a resource person from Serbia and Montenegro who teaches in English and works in the area of Gay and Lesbian Studies, you should put Serbia and Montenegro in the country field and English in the Languages (teach), pick Gay and Lesbian from the key-words list and then press Search. The list of Resource persons who satisfy the criteria will appear in the field. By clicking once on the name of the person you choose, a page with the info about the person will appear on the screen.
By leaving all the criteria fields empty and clicking search you’ll get the list of all the resource persons entries in the database.

Example 3:

If you need to find a course offered in the region, taught in Bulgarian up till the year 2000 on the subject of Cultural studies, you should pick Bulgarian from the languages drop-down menu, put 2000 in the Academic year (to) field and pick Cultural Studies from the key-words menu. By clicking search you’ll get the list of all the courses that satisfy the criteria (if any).

The same principle applies for all the databases.

Should you encounter a problem or have inquiries, please do not hesitate to contact Dusica Dimitrovska at dusica@sonet.com.mk or rcgs@sonet.com.mk.

Note: Please change the text size to smaller if you encounter problems with the page display.
